6.3 Adding Meta Data To An Activity Template

Note on Terminology:

We are in the process of transitioning from the word Task to Activity across the Zegeba platform.
While some areas of the system and older documentation may still mention Tasks, they refer to the same concept as Activities.
From now on, please consider Activities as the standard term for what was previously called a Task.
This change is part of our effort to better reflect real-world usage and to keep terminology consistent moving forward.

Working with Meta Data in Activity Templates

Meta Data allows you to add structured, customizable information to each individual Activity generated from an Activity Template. This data helps ensure every activity has the necessary context, such as dates, locations, customer info, or other relevant details.

You’ll see the meta data fields:

  • When creating a new Activity via the Dashboard
  • In the Details section within the mobile app

Common Meta Data Examples

Here are typical types of meta data fields you might use:

  • Date
  • Project Name
  • Customer
  • Site
  • Work Type

Configuring Meta Data in an Activity Template

To define which meta data fields should appear for new Activities:

  1. Open the Activity Template Editor
  2. Navigate to the Tab 3 – Meta Data
  3. Click [Add Meta Data] to insert a new meta data section

You can add multiple sections. In the editor, these appear stacked vertically.

Managing Meta Data Sections

  • Reorder Sections: Use the arrows in the top-left corner of each section to move it up or down.
  • Delete Sections: Click the X in the top-right corner to remove a meta data section.
  • Set Display Name: Enter the label that will appear in the “Create New Activity” screen.

Meta Data Field Types

There are several field types available, depending on the kind of data you need to capture:

1. Date

Displays a calendar for selecting a specific date.

2. Date Time

Includes both a calendar and a clock for selecting an exact date and time.

3. Date Range

Used to define a from–to date range. Can also be configured as a recurring date range for recurring workflows.

4. Text

Provides an open text field for freeform input.

5. Dropdown List

A selectable list of predefined options. Click [Add Option] to include multiple choices.

Note: If you want these options to be pre-filled in the form, you must use specific IDs such as: _1st, _2nd, top.

6. List of Users

Displays a list of all users in the system. This is for viewing only—it does not affect assignments.

7. List of User Emails

Displays a list of user email addresses for reference. It has no connection to assignment.

8. Duration

Allows users to define a time duration, e.g., 2d4h30m = 2 days, 4 hours, 30 minutes.

Example: A dropdown listing deck names on a vessel.


Field Settings

Each meta data field has additional settings to control behavior and visibility:

  • Required: The Activity creator must fill in this field to save the Activity.
  • Allow Editing in App: Lets assignees edit this field from the mobile app. Editable fields will show a pencil icon.
  • Do Not Show in App: Hides this field from the assignee in the app. Useful for internal or automated metadata that only managers or systems should see.

Example: Hide internal tags or automation triggers from field workers.
Example: Users can tap the pencil icon to edit a “Project Name” field in the app.
