7.6 Import Context and Create Tasks

With the context import feature, you can seamlessly create tasks (or activities) based on rows in your Excel table.
This guide will walk you through the steps to ensure a smooth and efficient import process.


How It Works

  1. Header Row:
    The first row of your table serves as the header. It identifies the columns and helps you map them to the appropriate fields during the import process.

  2. Context vs. Task Meta Data:

    • If a column contains the same value for all rows, it can be used as context meta data (e.g., Customer Name or Order Number).
    • If a column contains different values across rows, it can be used as task meta data (e.g., Task Details).
  3. Multiple Sheets:
    If your Excel file has multiple sheets, each sheet will create a separate context, with tasks nested within it.

  4. Auto-mapping:
    To enable automatic mapping of fields, the column names in your Excel file must match the display names of the context or task meta data fields.


Steps to Import Context

  1. Navigate to the Desired Context
    Go to the main context or sub-context where you want to add a new context.

  2. Start the Import Process

    • Click the Import Context or plus (+) for the sub context button.
    • Select Import Context. (Only for sub context)
  3. Upload Your Data

    • Upload your Excel file or paste your data directly into the system.
    • Preview your data to ensure everything looks correct.
  4. Choose the Context Type
    Select the context type you want to use for the import.

  5. Set Context Meta Data

    • Columns with the same data in all rows will be available for selection as context meta data.
    • Fields with identical names to the task meta data fields will be automatically mapped.
  6. Choose a Task Template
    Select the task template to define the structure of tasks you’re creating.

  7. Map Your Fields

    • Map each column in your data to the corresponding meta data fields in the system.
    • Fields with identical names to the task meta data fields will be automatically mapped.
  8. Review the Overview

    • The system will provide an overview of how many contexts and tasks will be created.
    • Confirm that the data and mappings are accurate.
  9. Finish the Import
    Click Import to create your contexts and tasks based on the uploaded data.


Tips for a Successful Import

  • Consistency in Column Names: Ensure your Excel column names match the field display names in the system for automatic mapping to work.
  • Prepare Data in Advance: Organize your Excel data to clearly separate context-level and task-level information.
  • Preview Before Finalizing: Always review the preview to confirm the expected number of contexts and tasks.
