4.3 Create, edit, copy, rename and delete forms
Create a new form
- In the Dashboard’s Form Templates screen, click on the folder in which you want to create a new form.
- Press [+ New Form],
type a name for the form and press [Save]. - Click on the new form name to open it in the Form Versions list, and
press [Design form].
Edit an existing form
- In the Dashboard’s Form Templates screen, click on the folder and the form you want to edit, and press [Design form] at the latest version of it.
The date, time and username of the latest edit will be shown in the Dashboard, next to the version’s [Published] button.
Note! If the form version is Published or has existing data listed below it, you may only open the Designer in Minor Edit Mode. In this mode you are not allowed to create or delete elements and thus change the underlying data table. You may however make changes to labels, to Single or Multiple Select options, to PDF settings, hiding or showing elements, or rules and calculations.
Create a new version of a form
If you know you are going to make major changes to the design and/or if the previous version has been published and contains data, you should create a new version of the form design. Then a new version of the underlying data table will be created.
- In the Dashboard’s Form Templates screen, press [New form version]
– or –
If your form has several versions and you would like to continue designing from a version that is not the last (top) one,
press the 3-striped button of that version and select New Version from its menu.
Copy an existing form design
There are two ways of copying a form:
- From the Dashboard: Export it and then import it to the same server – or to a different server. See description in Managing: 4.6 Export and import of Zegeba forms and folders.
- If you want to create a copy on the same server you can also use the Designer’s File menu. Copy the form’s main element to the browser’s storage and paste this element into a new form. See Designing: 2.2 The File menu.
Note: Data captured in a form cannot be copied in the Dashbord, but users of the Zegeba app can copy data if this is specified in the task template and the form design. Read more about this in Managing: 6.5 Adding Forms to a task template.
Rename a form
- In the Form Versions screen, left-click on the striped icon next to the form name.
- Select Rename Form on the menu.
- Type a new name for the form in the input box containing the old name, and
press [Save].
To also change the name of the form in the Designer, please do the following:
- Perform the steps in “Edit an existing form” above
- In the top-level element in the form structure, change the Label to the new name. Check that the form’s Element ID changes too.
Note! You must change the Label and Element ID of the top form element to avoid conflicts with previous versions.
Move a form
You can move a form, its versions and its data from one folder to another.
- In the Form Versions screen of the form you wish to delete, click on the striped menu icon by the form name at the top.
- Select Move Form, select the destination folder – the folder you want to move the form to – and press [Save Changes].
Delete a form
- In the Form Versions screen of the form you wish to delete, click on the striped menu icon by the form name at the top.
- Select Delete Form, and press [Confirm] to confirm deletion.
Beware! This will delete all versions and all data captures in the form.
Hide a form in the app
You can hide a form from being shown in the option Forms in the app. The form will still be shown as before in Form Templates in the Dashboard.
- In the Dashboard, click on the striped menu icon by the form name at the top and select Hide in Forms in App.
