Find the Right People in Seconds

4.13 introduces tags across Zegeba: label your people with skills, locations and certifications, then use those tags everywhere it matters. Filter the user table, staff an activity with everyone matching a tag, bulk edit assignment across many activities, email a tagged group from the top bar, and let a state change assign the right people automatically. Entries get the same treatment as activities: a new details drawer with the full edit history and attachments in one place, and the ability to email any entry as a PDF. Resources gains dynamic lists that publish a file instead of overwriting one, so updating a form's options no longer means touching the form. Add the personal controls for shaping the dashboard to how you work, and a bunch of performance and filter fixes, and this is a big one.

Tag Your Workforce

Tag people with what they are: Welder, Oslo, Night Shift, Certified Inspector. The new Tags screen under Resources is one place to create and organize every tag, with colored categories, archiving, and spreadsheet import with a full review before anything is written.

A New Way to Assign People

The new assignment drawer finds people by name or by attribute. Filter on tags, role, location or department, see live counts as you narrow down, and add the whole matching group in one click. "All welders in Region North" is two clicks and Add All.

Your Filters Follow You

The drawer remembers you: your top 10 most used tags under Popular, up to 20 named filter combinations under Saved, and your 10 most recent searches, one click to reapply. Stored on the server, so they are the same on every device you log in from.

Bulk Edit Tags on Users

Select two or more users in the user table and edit their tags in one action: add, replace, remove or clear. Tags are also a column and a filter on the Users page, so segmenting a large team no longer means opening users one by one.

Select many activities and change their assignment in one save. Each role section carries its own action, assign, reassign, remove or clear, so one bulk edit can add a crew, remove a single user and clear a section, all at once.

An activity template state can now carry an assignment rule that runs every time an activity enters that state. Assign specific people, everyone matching a tag combination, or whoever is in a metadata field, resolved at the moment the state fires, so the rule always finds the people who qualify right now.

The email option from 4.11 and earlier is back, and it now sits in the top bar, so it is there on every screen. Write the message, then build the recipient list by searching for people or filtering on a tag, and Select All takes everyone who matches in one action.

One Place for Everything About an Entry

Double-click any entry to open the new details drawer: what the entry is, every saved edit with who made it and when, and all its attachments, downloadable one by one or all at once without opening the entry. Every entry action lives in its footer, and the header matches the activity drawer, so the two read as one system.

Send one entry as a PDF straight from its action menu: pick the pages, pick the recipients, send. Every file attachment captured in the form rides along, and there is no need to set up a Bulk PDF run for a single entry any more.

Manage Context Connections Directly from the Activity/Task Drawer

You can now see and manage context connections right inside the activity/task details drawer. The metadata the activity inherits from its context is there to read, the context opens for editing in one click, and you can disconnect one context and connect another without leaving the activity. Less jumping around, more control where it counts.

Download Attachments Directly from Entries

You can now download attachments straight from a form entry. A new download button appears on attachments in the form, and a new attachments drawer in the Entries view lets you see how many attachments an entry has and download one or all of them in a couple of clicks.

Safer Archiving of Activity/Task Templates

Archiving a template that still has activities with people assigned now stops you first, with a warning that the template is in use and a link to see the activities it would affect, and lets you archive it anyway when that is really what you want. New guards keep archived templates out of places they caused trouble before: no creating activities from them, and no duplicating a context that holds them. In the app, an activity built on an archived template stops opening once the app syncs, and nothing you have not synced yet is thrown away: unarchive the template and the activity is back, complete.

Dynamic Lists That Update Themselves

A dynamic list is no longer a file you overwrite. The new Dynamic Lists tab under Resources gives each list a permanent address and keeps every file behind it, with one published at a time. Upload a new version, publish it, and every form using that list follows at the next sync: no filename to match, no form to edit, and the file it replaces stays in the list in case you need to go back. The published file is the one that counts, so what a file is called never decides what your users see. A list made in the new tab needs no URL conversion at all. Lists you already built from files in Resources keep working, but that way of building them is now legacy and is being phased out over the coming 12 months, so plan to move them across: build every new list in the new tab.

Large hover menus in the dashboard sidebar now have a search field. Where a menu holds a long list, such as your context types, you can now find what you need without scrolling through the whole list.

What’s new

• New form template versions are now automatically selected when created, no extra click needed
• The activity/task details drawer's Setup tab is now called Properties, a name that matches what is in it; nothing inside the tab changed
• Filters in views now show a loading state so you can see when a filter is actively working

Improvements & fixes

• Filter performance. Filters in views (custom and standard) were slow and sometimes inaccurate with larger datasets. Fixed.
• UI polish. Lots of fine-tuning and improvements following the full UI overhaul in 4.12
• Fullscreen image view. Improved fullscreen image viewing when opening images from PDFs
• Duplicate activity/task in context. Fixed a bug where duplicating an activity/task inside a context would drop it out of the context. It now stays, and you can choose whether the duplicate should remain in the same context or not
• Form version export/import. Fixed an issue where archived form versions would lose their archived state after export/import. Archived stays archived
• File upload consistency. Fixed an inconsistency where dragging and dropping a file into an upload area bypassed the accepted file type restrictions. Click-to-upload and drag-and-drop now behave the same way, across all upload areas in resources, activities/tasks, and elsewhere
• Items per page resets. Fixed an issue where the number of items displayed per page would reset to the default of 10 whenever you navigated away and back. Your preference now sticks
• Moving a sub-context to a new owner. A sub-context such as a vessel or a location could not be reassigned to a different main context, so an ownership change meant rebuilding it and losing its history. Right-click a sub-context and choose Move Context, pick the destination from a searchable list and confirm: its activities, forms and history all follow it. Note that activities then read the new main context's mapped metadata, both existing and future ones; only values already captured inside saved entries keep what they were
• Link navigation while viewing an entry. Viewing an entry puts the whole form in read-only mode, which blocked every link action, including the goto actions many forms rely on to move between pages. Goto now runs in read-only mode while data-changing actions such as setValue and setState stay blocked, so navigation works when you are reading an entry back
• Metadata field search. When an activity/task metadata field has a long list of options, you can now search within it rather than scrolling through the entire list
