Bulk Edit Assignees
Change the assignment of many activities at once. Select the activities in a list, choose an action per role section, pick the people, and apply everything in one save.
Available from Zegeba 4.13.
Before You Start
- You need permission to manage the selected activities.
- Per-section editing needs the selected activities to share one activity template. A mixed selection can still bulk-edit the Assignee section.
Steps
- In an activity list, select two or more activities and choose Bulk Edit.
- Open the Assignment tab. Each role section carries its own Assignment Action:
- No Change: this section is left alone.
- Assign: add the picked people on top of whoever is already there.
- Reassign: replace the section's people with the picked ones.
- Remove: take the picked people off the section.
- Clear: empty the section entirely.
3. For Assign, Reassign and Remove, pick the people. This is the same picker as single-activity assignment, so everything from Assigning People to an Activity applies here:
- Type in the search field to add someone by name, @handle or email.
- Select Filter to target people by what they are: tags and certifications, shift, region, role, location or department. Each facet shows a live count of how many people it matches.
- With two or more tags selected, the All tags / Any tag toggle decides whether people need every selected tag or at least one of them.
- Select Add All to take the whole matching group, or add people one by one.
- Your Popular tags and Saved filter combinations work here too; see Filter Shortcuts: Popular, Saved and Recent.
- Each changed section shows a colored badge on its tab: green for additions, red for removals and clears. The footer sums it up: sections changing, new, removed, cleared.
- Select Save. The Apply Bulk Changes summary lists every changed section with its change, one row each. Select Apply Changes, and the change lands on every selected activity in one save.
Assigning by tag, end to end
Tags are what make a bulk edit fast, because they describe the group instead of naming its members. Say twenty activities in the north need a welding crew:
- In the Activities view, filter the table to the twenty activities and select them.
- Choose Bulk Edit and open Assignment. In the Assignee section, set the action to Assign.
- Select Filter, pick the Welder tag and the Region North tag, and keep the toggle on All tags so only people holding both match.
- Select Add All. Every welder in Region North is staged, badged New.
- Select Save, review the summary, and select Apply Changes. All twenty activities now carry the whole crew.
The people need their tags before this works; tagging them is the Users page's job, see Tag Users and Bulk Edit Tags.
Different sections, different actions
The actions are independent, so one save can do several things: assign a crew in Assignee, remove one person from Responsible and clear Manager, across every selected activity at once.
FAQs
What is the difference between Assign and Reassign?
Assign adds the picked people on top of whoever is already in the section. Reassign replaces the section's people with the picked ones, on every selected activity.
Why can I only edit the Assignee section?
The selected activities use different activity templates, so their role sections do not line up. Only the Assignee section, which every template has, can be bulk-edited across them.
Can I see who is currently assigned before I apply?
No. A bulk edit spans many activities with different assignees, so there is no single list to show. You declare the change per section, and the summary confirms it before anything is written.
