Filter Shortcuts: Popular, Saved and Recent
Stop rebuilding the same filters. The assignment drawer remembers the tags you use most, lets you save named filter combinations, and keeps your recent searches one click away. Everything is personal to you and follows you to any device you log in from.

Before You Start
- The shortcuts live in the assignment drawer; see Assigning People to an Activity.
- Shortcuts are personal per activity template, so each template shows the ones that are relevant there.
Popular
Select Popular to see your top 10 most used tags, ranked by your own usage. Selecting one applies it exactly like picking it in the Filter catalog. Remove a tag from the list with its delete action; the next most used tag takes its place. A removed tag is still available through Filter and search, it just stops appearing here.
Saved
Select Saved to see your named filter combinations. Applying one restores the search text, every facet and the match mode in a single click. You can keep up to 20; saving beyond that drops the oldest. Deleting one removes it permanently.
Recently used, in the same popover, lists your 10 most recent search and filter combinations, so "the same group as five minutes ago" is one click.
Steps
Save the filter you have built so it is one click next time:
- Build the filter you want: search text, tags, role, location, whatever finds the right group.
- In the Filters row, select Save As Filter.
- A confirmation appears and the combination lands under Saved, named from its first facets, ready to reapply with one click.
Across devices
Popular ranking, saved filters and recents are stored on the server, tied to your user. Log in on any device and the same shortcuts are there.
FAQs
Are my saved filters visible to my team?
No. Popular, Saved and Recently used are personal. They follow you to every device you log in from, and nobody else sees them.
I removed a tag from Popular. Is it gone?
Only from the Popular list. The tag is still available through Filter and search, and the next most used tag takes its place in Popular.
Why do I see different shortcuts on another activity?
Shortcuts are kept per activity template, so each template shows the ones that are relevant there.
