Activities

The Activities view lets you see all activities, quickly assign users, filter and search, sort columns, and take actions on single or multiple activities. It also supports exporting visible columns to CSV or Excel (entries are not exported from here).

Prereqs

  • Access to the Zegeba Web App.
  • Permission to view and manage activities in your workspace.

The table columns

  • Line #: Shows a row number that becomes a checkbox when you hover, for selecting rows.
  • ⋮ (More): Per-row action menu. (or right-click the row)
  • Activity ID: Unique ID for the activity. Option-click (macOS) or Alt-click (Windows) copies the ID to the clipboard.
  • Entries: Count of entries for the activity. Click to expand the row and see entries in-line. You can run all Entries actions from here, making the Activities view very powerful.
  • State: Current state of the activity.
  • Files: Count of attachments. Click to open Activity Details and view files.
  • Title: Activity title (from the activity template).
  • Description: Description (from the activity template).
  • Assigned To: Who the activity is assigned to.
  • Created By: User who first created the activity.
  • Created: Date and time the activity was originally created.
  • Edits: Total number of edits on the activity.
  • Edited: Date and time of the last edit.
  • Context: Context type the activity belongs to. Empty if the activity is not associated with a context.
  • Activity: The activity template under which the activity was created.
  • Context path: Shows the path in a context tree to help you understand where the activity belongs.

Filters & Search

  • Quick filters (toolbar):
    • State: Filter activities by one or more states.
    • Creator: Filter by the user who created the activity.
    • Assignees: Filter by assigned user(s).
    • Context: Filter by context.
    • Activity: Filter by activity template.
    • Select dates: Filter by Created date.
  • Clear filters: Click Clear on the far right to remove all quick filters.
  • More (⋮) next to Clear:
    • Show archived / Only archived toggles.
    • Export data: Export CSV or Excel for the current list (applies current filters/search). Exports include only visible columns and do not include Entries (export entries from the Entries view instead).
  • Search: Standard keyword search across activities. For deeper queries, use Advanced Search to search on all data across activities.

Sorting

Click any column header to sort ascending/descending.

Row actions (single activity)

Open the menu (or right-click the row) to see:

  • Edit: Opens Activity Details to the Setup tab to edit details and metadata fields. Double-click on the row will also open the activity for editing.
  • Assign: Opens Activity Details in a right-side drawer on the Assign tab. Double-click on the assignment column in the table will open the assignment tab for the activity.
  • Open In App: Open the activity in the Web App.
  • Duplicate: Creates a copy of the activity.
  • Archive / Unarchive: Archive or restore the activity.
  • Export: Download CSV or Excel for the visible columns for this single activity.
  • Delete: Permanently delete the activity. If you delete something accidentally, email support@zegeba.com for recovery assistance.

When hovering a row, a mini bar shows quick actions: Open, Assign, Edit.

Edit activities (Details drawer)

Choosing Edit or Assign opens the Activity Details drawer on the right. Available tabs depend on the activity template.

  • Setup: Change State and edit all available metadata under Activity Info. The header shows the activity Title and the drawer description mirrors the activity Description. You can also see Created by and Last updated info.
  • Forms: If enabled by the template, pick which Form templates are available in this activity. Useful when you have many templates and need to turn some on/off. Includes Select All and Search.
  • Attachments: Upload and download files for the activity. Supports PDF/JPG/JPEG/PNG as shown in the UI. Drag-and-drop is supported.
  • Assignment: Add or remove assignees, search for users, or Add by email. Toggle Notify new assignees to send an email when adding users.
  • Notification: Edit the email Subject and Message sent to new assignees when notifications are enabled. Insert parameters such as ${serverUrl}, ${username}, and ${taskUrl} from the parameters list.

Click Save to apply changes or Cancel to discard.

Bulk actions (select 2+ rows)

Use the row checkboxes (Line #) to select multiple activities, then use the Bulk actions bar:

  • Edit: Bulk update shared metadata fields across the selected activities (if templates differ, only common fields are editable). You can also Bulk assign here.
  • Bulk PDF: Generate a combined PDF of entries from the selected activities (not the activities themselves).
  • Archive / Unarchive: Archive or restore the selected activities.
  • Export: Export selected activities to CSV/Excel (visible columns only).
  • Delete: Delete multiple activities. If you delete by accident, contact support@zegeba.com for assistance.

FAQs

How do I copy an Activity ID?
Option-click (macOS) or Alt-click (Windows) the Activity ID in the table to copy it.

Does the export include entries?
No. The Activities export includes visible columns for activities only. Export entries from the Entries view.

Where do I find archived activities?
Use the toolbar next to Clear filters and choose Show archived or Only archived.

What happens if I delete an activity by mistake?
Contact support@zegeba.com as soon as possible for recovery.

Why can’t I edit some fields in Bulk Edit?
With mixed templates, only common metadata fields are available in bulk. Assignments can also be updated via Bulk Edit.

Can I export only selected rows?
Yes. Select the rows (checkboxes), then use the Bulk actions › Export.

How do I sort?
Click a column header to sort and toggle order.
