Tag Users and Bulk Edit Tags

Tag users with skills, roles or locations, straight from the user profile or across many users at once. Tags show as a column and a filter in the user table, and they are what assignment filters search for when you staff activities by attribute.

Before You Start

  • The tags themselves are managed on the Tags screen under Resources; see Tags.
  • You need administrator access to edit users.

Steps

Tag one user

  1. Open Users and select the user.
  2. On the Details tab, find the Tags field.
  3. Pick the tags that describe the user, a location like Oslo, an occupation like Welder.
  4. Select Save. The tags show on the user's row in the table immediately.

Bulk edit tags

  1. In the user table, select two or more users.
  2. Select Bulk Edit.
  3. In the drawer, choose a Tag action:
    • No Change: tags are left alone.
    • Add tags: add the selected tags, keeping what each user already has.
    • Replace tags: swap every selected user's tags for the selected set.
    • Remove tags: take the selected tags off the selected users.
    • Clear all tags: remove everything.
  4. Pick the tags and select Save. The change applies to every selected user at once and shows in the table immediately.

Find users by tag

The user table shows a Tags column by default, and the filter bar has a Tags filter, so "everyone tagged Boiler" is one selection. See Users Overview and Customize User Table.

FAQs

Do tags change what a user can access?
No. Tags label people for search, filtering and assignment. Access is controlled by roles; see Users Overview.

Where do the tags in the list come from?
From the Tags screen under Resources > Tags, where an administrator manages the whole set. If a tag you need is missing, it is created there, not on the user.

What does Replace tags do to tags I do not select?
It removes them. Replace swaps every selected user's tags for exactly the set you pick; use Add tags to keep what they already have.
