Tags
Tags label your people and records with skills, certifications, shifts, regions and locations, and they power search, filters and assignment across Zegeba. The Tags screen under Resources > Tags is where an administrator creates, organizes and maintains them.

Before You Start
- Managing tags is an administrator job; tagging individual users happens on the Users page, see Tag Users and Bulk Edit Tags.
The Tags screen
Open Resources and select the Tags tab. The left panel lists the tag categories, each with a color and a live count, plus All Tags, No Category and Archived. The table shows every tag with its category, description, owner, requester and reference, and can be searched and sorted.
Steps
Create a tag
- Select New Tag.
- Give it a name. Names must be unique and cannot be changed later: to rename, create a new tag. A confirmation reminds you of this before the tag is created.
- Pick a category, or leave it in No Category. The tag takes its category's color.
- Optionally add a description, an owner, a requester and a reference.
- Select Create tag. The tag appears in the table immediately, in its category's color.
Organize with categories
- Select Add Category in the left panel.
- Name it and pick one of the system colors. The preview shows how its tags will look.
- Select Save. The category appears in the left panel with its color and a count of zero, ready to hold tags.
Archive instead of delete
Archiving takes a tag out of use but keeps it, with everything it is attached to intact. Find archived tags under Archived and unarchive them at any time.
Import and export
The ⋮ menu imports tags from a CSV or Excel file and exports the current tags. An import is reviewed before anything is written: every row is shown as New, Updated, Unarchived, Unchanged or Skipped, with a note explaining why, and filter tabs and search to work through large files. New categories in the file are created automatically. By default an import only creates: existing tags are skipped unless you switch on Update existing tags, which updates them in place and brings archived ones back.
The template comes from the import panel rather than the menu: select Import, then Download template. Its Tags sheet carries the expected columns, Name, Category, Category color, Description and Reference, and its second sheet, Colors, lists every value Category color accepts. Leave that cell blank for the default brand color; a name the Colors sheet does not list falls back to gray.
Export All Tags writes a CSV of every tag, archived ones included: its name, category and category color, description and reference, plus its status and who created it and when.
FAQs
Can I rename a tag?
No. Tag names are permanent, so a tag keeps meaning the same thing everywhere it has been used. To change a name, create a new tag and archive the old one.
Does archiving a tag remove it from users?
No. Archiving takes the tag out of use for new work but keeps everything it is attached to intact, and it can be unarchived at any time from the Archived view.
Why were rows skipped in my import?
The usual reasons: the tag already exists (turn on Update existing tags to update it instead), the same name appears twice in the file (the first row wins), or a row has no name. The review shows the reason on each skipped row before anything is written.
What happens to a category's tags when I delete the category?
The tags are kept and moved to No Category. They lose the category's color, since a tag takes its color from its category. Deleting a category never deletes a tag.
