New Features and Enhancements In Version 4.10 - Draft

This update brings enhanced flexibility and usability with new features.

Note: Zegeba servers are upgraded individually based on each customer’s setup and requirements.
Check your version in the About section of the App or Dashboard.


In the App

Tab Task/Activity View in the App

We’re excited to introduce a new Tab Task/Activity View for activities in the App — designed to give assignees a more complete and actionable work package.

What’s New?
  • Tabbed Interface: The new view puts forms and data front and center, while organizing additional information into easy-to-navigate tabs:

    • Attachments
    • Assignment
    • Activity Details
  • Quick Action Button (➕): A new Plus icon at the top of the screen lets you:

    • Start a new form
    • Select the form template you want (no need to scroll through long lists)
    • Upload attachments directly from the action menu
  • Improved Bulk PDF Export: You can now bulk export PDFs across multiple form templates, making it easier to compile and share complex data sets.

How to Enable
  • Global Setting: In the Dashboard, go to Settings → App Menu → Default Task View to set this as the default for all users.
  • Per-User Setting: You can also enable this view in the App Settings for your individual user account.


Improved Task/Activities and Context List View

  • Filter by State: You can now easily filter tasks / activities and contexts by their state (e.g., open, in progress, completed).
  • Sort Tasks: Organize your workflow by sorting tasks and contexts based on your preferred criteria.



In the Dashboard

Introducing the New Home View in the Dashboard

The new Home View is your central hub for accessing data across the entire system — including Entries (Data Captures), Activities (Tasks), and Context. Designed for flexibility, it allows you to use system default views or create custom views by filtering and selecting exactly what data to display in the table.

This update also marks the beginning of Zegeba’s new look and UI, featuring a cleaner design and a brand-new Dark Mode for a more comfortable viewing experience.

Key Improvements

  • Table View Enhancements

    • Expand Activities to view related entries directly in the table — no need to open the app.
    • Bulk Edit all field types within Activities, making mass updates faster and more powerful.
  • Reporting Made Easier

    • Download PDF or create Bulk PDFs directly from the table — generate reports quickly without opening individual activities.

Set Your Default Landing Page

You can now personalize your experience by setting a default landing page when logging in!

This new personal setting is available in the Dashboard Settings menu. It’s perfect for users who want to jump straight into their most-used views.

For example, if you’re an Activity Manager and you’ve created a custom activity view tailored to your workflow, you can now set that view as your landing page. No more extra clicks—just log in and get started right where you need to be.



Improved Bulk PDF Export

We’ve made big improvements to the Bulk PDF export feature to make it more powerful and user-friendly:

  • Combine multiple form templates into a single export – no need to split exports by template anymore.
  • Better performance and reliability when handling larger PDFs – exports are now more robust and efficient.
  • Create Bulk PDFs directly from the new Home View – no need to open individual tasks to get started.

This is now available from both App and Dashboard for the first time.




More Flexible Date Selection in Activity Calendar

You can now choose which date field to use in the Activity Calendar, giving you greater control over how activities are displayed.
Previously, the calendar was limited to showing activities based on the Due Date or Scheduled Date.
With this update, you can select any Meta Data date field, making it easier to tailor the calendar to your workflow.

In the app, the calendar now automatically considers all available date fields, ensuring that all your activities appear, regardless of which date field is used.




Download Single PDF Report from Home View

You can now download a PDF report of an entry directly from the new Home view or choose to open it in a new browser tab. This update streamlines administration by removing the need to open individual activities or entries just to access reports.

In Activities

Note on Terminology:

We are in the process of transitioning from the word Task to Activity across the Zegeba platform.
While some areas of the system and older documentation may still mention Tasks, they refer to the same concept as Activities.
From now on, please consider Activities as the standard term for what was previously called a Task.
This change is part of our effort to better reflect real-world usage and to keep terminology consistent moving forward.


Default Assignees on Activity Templates

You can now set default assignees on activity templates. When a task or activity is created from the template, these team members are automatically assigned—saving time and reducing manual errors.

How to use:

  • Open a task/activity template.
  • Add team members under the new Assignment Tab / Default Assignees.
  • Save the template. These users will be auto-assigned when the template is used.


User Sections in Assignment Tab

We’v# introduced User Sections in the Assignment tab of the Activity Template!

You can now organize users into clear sections—making it easier to see who is assigned to the activity and who is managing it. By default, there’s an Assignee section, but you can add custom sections like Activity Manager or others that suit your workflow.

🔍 To view user sections in the app, you’ll need to use the new Tab Activity View.

This update improves clarity without changing permission levels—just better visibility and structure when assigning users to activities.



Date Range Metadata Field for Task/Activity Templates

We’re excited to introduce a new Date Range metadata field for Task and Activity Templates!

This powerful new field allows you to define planned dates and even configure recurring date ranges—giving you greater flexibility and control when designing your workflows.

Key Benefits:
  • Use this field instead of the standard task scheduling if you prefer a more customizable approach.
  • Add multiple Date Range fields per template to track timelines for different stages (e.g., planning, execution, follow-up).
  • Set recurrence rules for any Date Range field directly in the template setup.
  • Fully compatible with the new Home View:
    • Create views with the metadata fields you want.
    • Bulk update Date Range fields directly from Home View.

This enhancement gives you more ways to tailor your templates and streamline recurring work!



Enhanced Text Metadata Field with RegEx Support for Duration Formatting

The Text metadata field has been enhanced to support regular expressions (RegEx), allowing users to define input patterns and validation rules.

With this enhancement, you can now configure the Text field to accept duration values in a flexible and human-readable format — such as 4d3h30m to represent 4 days, 3 hours, and 30 minutes.

  • Custom Validation: Use RegEx to enforce specific formats like durations, IDs, codes, and more.
  • Bulk Editable: These enhanced Text fields can still be edited in bulk for efficient updates.
  • Flexible Use Cases: The field remains fully independent and adaptable for a variety of workflow needs.

This update brings more control and precision to how text-based metadata is used and validated in your activity workflows.



Multiselect Dynamic List Metadata Field for Activities

We’ve added a powerful new feature to activities: Multiselect Dynamic List metadata fields!

Tag and Label Activities with Ease

You can now link a dynamic list of Tags or Labels to activities, making it easier than ever to organize and categorize your work. This allows for:

  • Flexible tagging: Select multiple tags or labels per activity
  • Efficient filtering: Easily search and filter activities based on the assigned tags or labels
  • Better organization: Customize your dynamic lists to fit your team’s specific needs
Bulk Editable

Managing large sets of activities? No problem. The new field supports bulk editing, so you can update tags across multiple activities in one go.



In PDFs

Improved Bulk PDF Export

Bug fixes

Archive Manager Unarchiving

Archive Managers can now unarchive all data they have access to. This fix resolves previous restrictions, ensuring seamless data management.

Minor Edit Mode Improvements

You can now edit Reference links and Actions in minor edit mode. These changes no longer require a new form version since they don’t affect the underlying dataset.



… and we have also implemented many other technical and performance improvements boosting the power of the Zegeba platform!

Note:
After a new Zegeba version is installed, you may need to force refresh your browser to see the latest features:

  • Windows: Press Ctrl + F5
  • Mac: Press Cmd + Shift + R

This ensures your browser loads the latest version instead of using a cached one.
If you don’t refresh manually, the new features will appear automatically the next time you open the Dashboard or Designer.
