Send an Entry as a PDF by Email

Send one entry as a PDF straight to someone's inbox, with all its attachments included. Send PDF is in the entry's own action menu, in every view that lists entries, so there is no separate export flow to go through: pick the pages, pick the recipients, send.

Before You Start

  • The entry should be complete: what you send is the entry as it stands.
  • You need the recipients' email addresses.

Steps

  1. Find the entry in any view that lists entries: the Entries view, an activity's details, or a context view.
  2. Open the entry's action menu ( or right-click) and select Send PDF. It sits with the other PDF actions, below Open PDF and Download PDF.

If you already have the entry open in the Entry Details Drawer, the same action is in its Export menu instead. Either route opens the same dialog.

3. On the Pages step, choose what to include, then select Next. Select All Pages takes the whole entry.
4. On the Email Recipients step, check the Emails field: your own address is in it already. Press Enter after each further address you add. Subject and Message arrive filled in and can be edited.
5. Select Send PDF. The email goes out with the PDF and every file attachment captured in the form, handled the same way as when a PDF is sent on a form status change.

When to use Bulk PDF instead

Send PDF is for one entry. To generate a combined PDF across many entries at once, select the entries in the table and use Bulk PDF; see the Entries view.

FAQs

Can I send several entries at once?
No. Send PDF is deliberately one entry, one email. For a combined PDF across many entries, select them in the table and use Bulk PDF.

Which attachments are included?
Every file captured in the form itself. They travel alongside the PDF in the same email, so the recipient gets the complete record in one message.

Where do I find Send PDF?
In the entry's action menu ( or right-click) in any view that lists entries: the Entries view, an activity's details, or a context view. It is also in the Entry Details Drawer's Export menu.
