5.0 Managing Activities

Note on Terminology:

We are in the process of transitioning from the word Task to Activity across the Zegeba platform.
While some areas of the system and older documentation may still mention Tasks, they refer to the same concept as Activities.
From now on, please consider Activities as the standard term for what was previously called a Task.
This change is part of our effort to better reflect real-world usage and to keep terminology consistent moving forward.

An Activity is a “work package” that includes:

  • One or more forms
  • Prefilled meta data – usually fields like customer name, location, date, etc., shown in the form header
  • Limits on how many times each form can be filled out – from 1 to unlimited
  • Activity states – such as New, In Progress, Ready for Inspection, etc.
  • Availability and due dates – if defined in the Activity template
  • Attachments – files such as instructional PDFs or videos

In this chapter, we cover the daily use and management of Activities within a company.

What’s the difference between an Activity and an Activity Template?

Activity Templates define the structure and settings used when creating new Activities. These include:

  • Form names
  • Meta data fields (aka “activity details”)
  • Form fill-out limits
  • Activity states
  • Due and availability dates (shown in the Zegeba app)

You can think of a template as a reusable “blueprint” for creating Activities.
A template might be called something like “Annual Inspection”, “Service”, or the name of a site or vessel.

Templates are often long-term or recurring work structures, while an Activity is a specific job assigned within that structure – usually with a short time span.

Example:
A template called “Annual Inspection” could have hundreds of individual Activities created from it – each one targeting a specific inspection of a piece of equipment at a work site within a certain week.
