5.0 Managing tasks

A task is a “work package” containing:

  • one or more forms
  • prefilled meta data – usually fields like customer name, location, date etc. in the form header
  • limits on how many times the forms can be filled out – from 1 to infinite
  • task states – New, In progress, Ready for inspection, etc.
  • availability and due date – if set in the task template
  • attachments – files such as instructional PDFs and videos

In this chapter we will describe the daily use and management of tasks in a company. Chapter Managing: 6.0 Managing task templates describes in detail the creating of task templates.

What is the difference between a task and a task template?

Task templates contain settings for the first 5 items mentioned above: form names, “task details” for prefilled data, limits, task states, due date and availability in the Zegeba app. A template is an “umbrella structure” for tasks and may typically be called “Annual Inspection” or “Service” or the name of a site or a vessel. Usually a task template is a long-term work structure, a task is a smaller job in this structure with a relatively short time-span. A company may typically have 3-10 task templates but each of these templates may have hundreds of tasks created in them, giving a specified job to a certain number of workers. For instance a task in the template “Annual Inspection” may concern an annual inspection of a specific equipment on a work site within a specified week.
